Hybrid Zoom meeting instructions
A guide on setting up hybrid Zoom meetings in SAL 2.04
The instructions below will help set up SAL 2.04 for a hybrid Zoom meeting.
Both computers should be on when you arrive in the room. If the Audience one is not then please turn on the monitor by pushing the power button along the bottom right-hand edge of the display, this is labelled.
On the lectern you find a remote control, press the Power button to turn on the projector, then pull down the screen.
On the Presenter Computer
Run Zoom and login to the account running the meeting. If you need help connecting to your Zoom account, please see the instructions on our How to sign in to Zoom page. There is a copy of this link on the desktop of the computer. Please remember when you sign in to use the SSO (single sign on) option on the Zoom login page.
Start your Zoom meeting. This will start the Presenter camera, based at the back of the room, if you need to change the zoom or the angle of the camera, please use the controls on the Microphone on the front table.
Make Zoom full screen.
On the Audience Computer
Run Zoom and connect to the meeting as a guest, just click on Join a Meeting, there is no need to sign into this Zoom session. Please make sure the Do not connect to audio box is ticked before joining.
If you need the Meeting ID and Passcode to connect you can find these details on the Presenter Computer, just click on the shield at the top left-hand corner of your Zoom meeting and it will show you the meeting details.
On the Presenter Computer
Open your presentation, do not go full screen, or start the presentation yet.
Go back to your Zoom meeting on this computer and click on the Share Screen button, select the application window from the list and click Share.
You can now go back to your presentation and make it full screen and start the presentation.
On the Audience Computer
You need to resize the floating video panel so the remote audience will fill the screen.
To do this on the floating panel click on the Grid view, the nine small dots on the top bar.
You will then be able to resize the panel to fill the screen by using the corners.
We recommend for remote people to use the Zoom side by side Gallery option for the best experience.
At the end of your meeting
On the Presenter Computer
Stop sharing your presentation.
End the Zoom meeting - End Meeting for All.
Close your presentation.
Most importantly sign out of Zoom, go to the Zoom application, click on the button with your initials on and select Sign Out.
Turn off the projector using the lectern control panel.
Turn off the projector using the remote control and turn off the screen attached to the Audience Computer using the power button at the bottom right-hand corner, it is labelled.
